Privacy Policy

Draft for PPSS review · Effective 17 August 2026

This is a PPSS-specific draft prepared from the public website, contact forms and known hosting/analytics tools. It is written in Australian English for the Australian Privacy Principles. It is not legal advice. PPSS and, where appropriate, Australian privacy counsel should confirm the marked statements against actual internal practice before this page is relied on in production.

Who we are

This policy is issued by Project Planning and Scheduling Solutions Pty Ltd (ABN 83 145 799 846), trading as PPSS. We provide project controls, scheduling, Primavera P6 support and related training for capital projects across Australia.

We operate remotely and do not invite customers to a public office. Mail may be sent to PO Box 5344, Victoria Point, QLD, 4165.

What personal information we collect

Depending on how you use the site, we may collect:

  • Identity and contact details: name, email address, phone number, organisation and location, where you choose to provide them.
  • Enquiry content: the subject you select, your message, and any service, course, role or CTA context carried from the page you came from.
  • Training interest: course, delivery preference, participant numbers and preferred timeframe.
  • Employment and talent-network information: current location, work-rights confirmation, role interest, LinkedIn URL, CV and any optional supporting document you upload.
  • Technical and usage data: pages viewed, approximate device and browser information, and referral source, through Matomo and Microsoft Clarity as described below.
  • Security signals: Cloudflare Turnstile results and anti-spam fields used only to reject automated submissions.

We do not ask you to send health information, government identifiers or other sensitive information through the website. Please do not include that material in a CV or message unless we have asked for it through a separate, lawful process.

Enquiries, training interest and service communications

If you submit a general, consulting, P6 support, digital, claims or training enquiry, we use your information to understand the request, route it to the right person, reply, and keep a record of the conversation.

General enquiries are kept for 24 months unless they become part of an active client file or a record we are required to keep for longer (for example a contract, invoice or dispute file).

Employment applications, CVs and the talent network

The careers page is a talent network, not a list of current vacancies, unless a specific opening is published. If you apply, we use your details and CV to assess fit for current or upcoming project-controls work.

Unsuccessful candidate and talent-pool information is kept for 12 months. You may withdraw from the talent network or ask us to delete this information at any time by emailing contact@ppss.net.au. We will say if a limited record must be kept to meet a legal obligation.

Website analytics, cookies and session recording

PPSS uses two analytics tools. We do not show a general Australian cookie popup solely for these tools. We document them here so you can see what runs and why.

Matomo

Matomo is a first-party analytics service hosted at analytics.ppss.net.au. It helps us understand which pages are used, which enquiry paths people start, and whether the site is working. It is loaded after the main page content, and it is not used to serve advertising. Separately, the server records requests from supported AI assistants (for example ChatGPT-User) in Matomo's AI Chatbot reports. Those hits do not create a visitor session and are not used for advertising.

Microsoft Clarity

Microsoft Clarity provides aggregated usage insights and session recordings. We configure the strongest masking available in the site code so form fields, contact details, CV content and other potentially sensitive text should not appear in recordings. Clarity also sets cookies that Microsoft describes in its own documentation, including cookies associated with the Clarity and Bing domains.

PPSS to confirm: the Clarity project itself should also be set to Strict masking in the Microsoft Clarity dashboard, and PPSS should periodically review recordings to confirm that contact forms and CVs are not visible.

Cloudflare Turnstile

Turnstile runs only on pages that contain an enquiry form. It is used to reduce spam. It is not an advertising tracker.

Browser privacy signals and regional consent

If your browser sends Global Privacy Control or Do Not Track, we do not load Matomo or Clarity. For visitors whose device timezone indicates the EEA, United Kingdom or Switzerland, Microsoft requires consent before Clarity is used; we apply the same gate to Matomo and ask before loading those tools.

Why we collect and use information

  • To respond to enquiries about services and training.
  • To assess applications for the PPSS talent network.
  • To operate, secure and improve the website.
  • To measure whether pages and forms are usable, after the page has rendered.
  • To meet record-keeping, accounting and legal obligations where they apply.

We do not sell personal information. We do not use the website to make automated decisions that have a legal or similarly significant effect on you.

Service providers and overseas handling

The website is hosted on Vercel. Enquiry records and uploaded files are stored using Cloudflare R2. Email notifications are sent using Resend. Analytics are provided by Matomo (first-party) and Microsoft Clarity. Error monitoring may use Sentry. Turnstile is provided by Cloudflare.

Some of those providers store or process information outside Australia, including in the United States and other locations where they operate. Where that happens, Australian Privacy Principle 8 is relevant: we remain responsible for personal information we disclose to overseas providers.

PPSS to confirm: whether any CRM, accounting, HR, backup or email mailbox provider also receives enquiry or CV information, and the countries those systems use.

Storage and security

We use HTTPS, access controls on the hosting and storage services, file-type limits on CV uploads, and spam protections on the public form. Uploaded files are renamed and stored in a private object store rather than being published on the website.

PPSS to confirm: who inside the firm can open enquiries and CVs, how mailbox access is limited, and whether malware scanning is applied to uploads beyond file-type and size checks.

Retention and deletion

  • General, training and service enquiries: 24 months, unless they become part of an active client file or a required business record.
  • Unsuccessful candidates and talent-pool information: 12 months, unless you ask us to delete sooner or a limited record must be kept by law.
  • Analytics data: kept according to the Matomo and Clarity retention settings.

PPSS to confirm the Matomo and Clarity retention periods configured in those products.

Access and correction

You may ask for access to the personal information we hold about you, and you may ask us to correct it if it is wrong. Email contact@ppss.net.au with enough detail for us to find the relevant record. We may need to verify that we are speaking with the right person.

Privacy complaints

If you are not satisfied with how we have handled your information, contact us first at contact@ppss.net.au. We will take the complaint seriously and respond.

If you are not satisfied with our response, you may complain to the Office of the Australian Information Commissioner (OAIC). See oaic.gov.au.
